This Refund Policy applies to all paid subscription plans purchased through Recordsafe ("the Service"), operated by Recordsafe Ltd, a company registered in England and Wales. By subscribing to a paid plan, you agree to the terms outlined below.
1. Subscription Model
Recordsafe operates on a recurring subscription basis. Plans are billed either monthly or annually, depending on the option you select at checkout. All prices are displayed inclusive of VAT where applicable.
2. Free Trial Period
Certain plans include a free trial period. During the trial you have full access to the plan's features at no charge. If you cancel before the trial ends, you will not be charged. If you do not cancel, the subscription will automatically convert to a paid subscription at the end of the trial period.
3. Cancellation
3.1 How to Cancel
You may cancel your subscription at any time through:
- Your account Settings page on the Recordsafe dashboard
- The billing portal provided by our payment partner (Stripe or Paddle)
- Contacting our support team at support@recordsafe.io
3.2 Effect of Cancellation
When you cancel your subscription:
- You will retain access to paid features until the end of your current billing period
- No further charges will be made after the current period ends
- Your account will not be deleted — you can resubscribe at any time
4. Refund Eligibility
4.1 Within 14 Days of First Payment
In accordance with the UK Consumer Contracts Regulations 2013, you have the right to request a full refund within 14 days of your first subscription payment, provided you have not made substantial use of the Service. Substantial use is defined as exceeding 20 document analyses during this period.
4.2 Billing Errors
If you have been charged incorrectly — for example, a duplicate charge, a charge after cancellation, or an incorrect amount — you are entitled to a full refund of the erroneous charge. Please contact us with your payment reference and we will resolve the issue promptly.
4.3 Service Outages
If the Service experiences significant downtime (more than 48 consecutive hours) that prevents you from using paid features, you may request a pro-rata credit or refund for the affected period.
4.4 Annual Plans
Annual subscriptions cancelled after the 14-day cooling-off period are non-refundable for the remainder of the billing year. You will continue to have access until your annual term expires.
4.5 Monthly Plans
Monthly subscriptions cancelled after the current billing cycle has begun are non-refundable for that cycle. Access continues until the end of the paid month.
5. How to Request a Refund
To request a refund, please email support@recordsafe.io with the following information:
- Your registered email address
- The date and amount of the charge
- The reason for your refund request
- Your payment reference or transaction ID (if available)
We aim to respond to all refund requests within 3 business days.
6. Refund Processing
Approved refunds will be processed through the same payment method used for the original transaction:
- Stripe payments: Refunded to the original card within 5–10 business days
- Paddle payments: Refunded via Paddle's refund process within 5–10 business days
Refunds are issued in the original currency of the transaction. Exchange-rate differences or bank fees are outside our control and are not covered.
7. Plan Changes
If you upgrade or downgrade your plan mid-cycle:
- Upgrades take effect immediately. You are charged the pro-rated difference for the remainder of your billing period.
- Downgrades take effect at the start of the next billing period. No partial refund is given for the current cycle.
8. Exceptions
Refunds will not be granted in the following circumstances:
- Dissatisfaction with AI-generated suggestions (the Service is provided on an "as-is" basis as described in our Terms of Service)
- Failure to cancel before a renewal date
- Violation of our Terms of Service resulting in account suspension
- Requests made more than 30 days after the charge in question
9. Chargebacks
We encourage you to contact us before initiating a chargeback with your bank or card provider. Filing a chargeback without first contacting us may result in your account being suspended pending investigation.
10. Changes to This Policy
We may update this Refund Policy from time to time. Material changes will be communicated to active subscribers via email at least 14 days before they take effect. The "Last Updated" date at the top of this page reflects the most recent revision.
